The Challenge

Fragmented Workflows and Scaling Friction

Chasing down disclosures and community documents is a notoriously frustrating hurdle in real estate. HomeWiseDocs’ legacy system struggled with rising customer support volumes and workflows that couldn't keep pace with their growing user base. The goal was to build a universal enterprise platform where all realtors, buyers, and association managers  could collaborate seamlessly.

The Approach

Enterprise Architecture & Inclusive Design

Our cross-functional team collaborated with executive and technical stakeholders to align the project with long-term business goals. Execution moved beyond a visual refresh to address two core pillars:

Enterprise Software Development: The platform required a complete structural overhaul. The backend infrastructure was rebuilt to allow for the scalability of new feature sets and distributed maintenance. By architecting a modern, cloud-ready environment, ensuring the platform could handle high-concurrency traffic while implementing advanced security measures to protect sensitive client data.

Usability and Accessibility: This project went "back to basics" with deep user research, competitive analysis, and iterative testing to uncover core pain points. Using a Jobs-to-be-Done framework, a brand-new, inclusive user experience was designed from the ground up. This prioritized universal search and action-driven interfaces, such as one-step ordering and payments, to ensure the platform was efficient and accessible for every user type.

The Outcome

The result was a transformed operational layer that centralized community information and provided clear visibility for all stakeholders.

75% Reduction in Support Volume: Complex workflows were simplified and navigation became more intuitive, drastically reducing the need for manual intervention.

88% Improvement in Order Velocity: The average time to place an order dropped from 18 minutes to less than 2 minutes, increasing transaction volume and revenue.

Enhanced Compliance and Intelligence: New safeguards for missing/expired documents and an analytics dashboard for association managers ensured improved regulatory compliance and provided real-time property performance insights.

Through in-depth user research, navigation testing, and job-to-be-done analysis, key pain points and missing features were identified to streamline workflows and improve efficiency. The homepage was redesigned into a simplified, action-driven interface that enabled users to immediately complete core tasks—placing an order, checking an order, or making a payment—in a single step.

To eliminate the frustration of chasing down documents, a universal transaction platform was built to centralize community information and provide clear visibility for all stakeholders involved in managed community sales. Proprietary listing tools, streamlined order tracking and sharing, coordinated payoff workflows, archived records, and a “missing or expired document” safeguard ensured faster transactions, improved compliance, and a smoother closing experience for buyers, realtors, and associations.
